Documentation

Set up AKKIVO without guessing

The customer path is a workspace, a forwarded number, approved company knowledge, and — once a calendar can be connected — appointments from that calendar. These guides follow that order.

Trial

Create a workspace and start the Mobile AI Assistant

Create an account, confirm your company profile, and open the Mobile AI Assistant trial. It runs for 7 days or 60 voice minutes, whichever comes first. No credit card is required. The AI Receptionist trial is 7 days when the pricing page offers it.

  1. Step 01

Create an account and complete the company profile: name, contact, phone, and timezone.

  2. Step 02

Add the Mobile AI Assistant from AI Services. After onboarding, AKKIVO provisions the technical setup itself. You do not configure prompts or providers.

  3. Step 03

The workspace shows the plan, minutes used, and when the current period ends.

Phone

Your number and call forwarding

Your existing business number stays with you. AKKIVO assigns the service a destination number. You set forwarding with your carrier for calls you do not answer.

  1. Step 01

Open the service, then Phone & Forwarding. Note the destination number AKKIVO shows.

  2. Step 02

At your carrier, forward unanswered calls to that destination after the delay you choose. The workspace shows the no-answer delay in seconds.

  3. Step 03

Run forwarding verification on the same screen. Status moves from not started, through pending, to verified. If it fails or expires, run it again before you rely on the line.

Knowledge

Company knowledge for the Mobile AI Assistant

The assistant answers customer-specific questions from material you approve: your public website, or documents you upload. It is not a general web search.

  1. Step 01

Open Knowledge on the service. Import your public website address. Import usually takes one to two minutes, and you can leave the page.

  2. Step 02

Upload PDF, Word (.docx), text, or Markdown. Each file passes a security check before it is indexed. Rejected files are not added.

  3. Step 03

Re-import the website or replace a document when prices, hours, or policies change. Sync status shows queued, syncing, ready, partial, or failed.

AI Receptionist

The AI Receptionist is set up with the studio

The AI Receptionist is an assisted service. After purchase you complete the onboarding details. AkkisTech configures the service. You follow status in the workspace and do not configure prompts, providers, or channels yourself.

  1. Step 01

Complete onboarding: company profile, service details, and business requirements.

  2. Step 02

AkkisTech handles provisioning and configuration. Testing and a go-live check follow. Timing depends on channels and how ready your knowledge is.

  3. Step 03

Questions about status, provisioning, and operations go to support. A trial for this service appears in the workspace when it is offered for your workspace.

Appointments

Appointments and calendars

Appointments use a connected calendar so offered times come from real availability. Which providers can be connected is on the Integrations page. A provider still in rollout or planned cannot be connected yet.

  1. Step 01

Connect a calendar under workspace Integrations once that provider is marked available there.

  2. Step 02

Assign the connected calendar to the service under Appointments. Google and Microsoft use OAuth. Apple iCloud, Fastmail, Nextcloud, and generic CalDAV use CalDAV credentials once those providers are connectable.

  3. Step 03

Until a provider is connectable in your workspace, leave appointments unassigned. Do not email calendar passwords. The connection happens inside the workspace.

Activity

Calls, messages, and follow-up

Activity keeps a record of interactions so you can see what the assistant handled. Message notifications and the daily call report are optional and configured in the workspace.

  1. Step 01

Open Activity when a caller says something was missed or misheard.

  2. Step 02

Turn message notifications on if you want an email when a message is taken.

  3. Step 03

Use the daily call report when you want one summary instead of checking the workspace after every call.

Billing

Plans, minutes, and cancellation

Mobile AI Assistant plans are Core, Growth, and Scale. They differ by included voice minutes and how many calls can be answered at the same time. Amounts and the additional-minute block are on the Pricing page. Billing is monthly, with no minimum term.

  1. Step 01

Compare plans on Pricing before the trial ends. The amounts there are the source of truth.

  2. Step 02

After the included minutes, further calls continue in paid blocks. The workspace shows minutes used above the allowance.

  3. Step 03

If you cancel a paid plan, it stays active until the date shown. Ending a trial stops new calls and releases the assigned number. Assisted services send a cancellation request to AkkisTech and do not end immediately.

Support

When you need a person

Support is the AkkisTech studio in Germany. Use it for provisioning, forwarding, billing, and behaviour that does not match what you configured.

  1. Step 01

Call +49 421 67373077 or email support@akkivo.ai. On business days the target for a first response on a standard enquiry is 24 hours.

  2. Step 02

Include the workspace name, the service, the channel, the time, and what you expected versus what happened.

  3. Step 03

Urgent means the assistant is unreachable on a live number, the behaviour is harming customers, or you suspect a security issue. Call first, then follow up by email.
